Terms of Service

Last updated:

These terms describe expectations for using the AICIA website and its member features. By using the website, you agree to these terms. If you have questions or cannot agree, contact AICIA before continuing to use member services.

Purpose of the website

AICIA is a student-led AI club supporting learning, building, demonstrating work, and connecting with opportunities. The website provides information and tools for courses, events, Labs, teams, projects, Community discussions, and club administration.

No institutional endorsement, accreditation, or official university approval is implied. Participation does not guarantee academic credit, employment, funding, admission, awards, or other outcomes.

Accounts and responsibilities

Provide accurate registration and profile information, keep your credentials private, and use only accounts and permissions you are authorized to use. Complete onboarding where required. You are responsible for your own contributions and for taking reasonable care of your account.

Do not share passwords, impersonate another person, or attempt to bypass member, administrator, or other access controls. Notify aicia.uoft@gmail.com if you suspect misuse of your account.

Acceptable use

  • Use the website lawfully and respect others' privacy, safety, intellectual property, and academic integrity.
  • Do not harass, threaten, discriminate against, impersonate, or deliberately mislead other participants.
  • Do not submit spam, malicious files, unauthorized personal information, or content you lack permission to share.
  • Do not probe private records, evade security controls, disrupt the service, or misuse club communications.
  • Use AI outputs responsibly: verify important claims, acknowledge limitations, and respect applicable course and project rules.

Community discussions

Keep posts and replies relevant, constructive, and respectful. Make clear when a statement is an opinion, an unverified result, or AI-generated material. Do not post confidential information about yourself or others. Official announcements are limited to authorized club operators.

Members can report content and manage their own contributions through the available controls. Moderators may pin, lock, hide, or remove content and review reports. Removal can leave a conversation placeholder, other contributors' replies, or retained moderation records.

Educational resources

Use learning resources for their intended educational purpose and follow any licence, attribution, access, or usage conditions attached to the material. Access to a PDF, video, repository, or link does not grant ownership or permission to redistribute it.

Do not share protected member resources with unauthorized users or upload copyrighted material without permission. Educational content and AI examples may contain errors or become outdated; evaluate them before relying on them.

Your content and intellectual property

AICIA does not automatically own your original project work, posts, or other contributions. Rights remain with you or the applicable rights holders, subject to existing team agreements, third-party licences, and other obligations.

When submitting content, ensure you have the rights and permissions needed for the website to store and display it to the audience you select or the participants in that activity, and for authorized operators to administer and moderate it. This does not transfer ownership to AICIA.

Public project showcases use the website's publication and participant-consent controls. Obtain collaborators' permission before submitting their work or personal information. Publicly displayed material may be copied by visitors; requests about corrections, publication, or removal can be sent to aicia.uoft@gmail.com.

Courses, events, Labs, and projects

Participation may depend on onboarding, registration, capacity, application review, assignment, preparation, or activity-specific requirements. Recording course interest or submitting an application does not guarantee a place. Follow the instructions for the activity and treat participants and organizers respectfully.

Schedules, instructors, locations, availability, and project arrangements may change. Check current event or activity details. Attendance, reviews, mentoring, and judging records support club administration and are not guarantees of a particular outcome.

Third-party links and services

The website links to external resources and may embed YouTube videos. External websites, repositories, and service providers have their own terms, privacy practices, licences, and availability. A link does not imply AICIA endorsement or a guarantee of accuracy or safety.

Availability and limitations

The website is offered for club information and participation. Features may be interrupted, changed, or unavailable because of maintenance, technical problems, provider limitations, or club capacity. AICIA does not promise uninterrupted service or error-free information.

Keep your own copies of important original work. Website materials are educational and should not substitute for qualified professional advice where that is needed. Nothing in these terms is intended to remove rights that applicable law does not allow to be waived.

Moderation and account restrictions

Authorized administrators can change roles or deactivate accounts, and authorized moderators can restrict or remove Community content through the website's controls. AICIA may use these measures to address misuse, protect participants, or administer club access.

Deactivation restricts access; it is not automatic deletion of all records. Contact aicia.uoft@gmail.com with a concern about a moderation or account decision. The website does not currently provide a separate automated appeal process.

Changes and contact

Club services and these terms may change. Revised terms will be posted here with an updated date; review them when using the website. Contact aicia.uoft@gmail.com for questions about these terms, participation, or use of your content.

The Privacy Policy explains how the website handles account, participation, and communications information.
